What is an Event Planner?

I'd describe an Event Planner as a magician of sorts. Someone who can take an idea and bring it to reality in the most incredible way possible. However, an Event Planner is so much more than this. Organizers for special events and meetings are known as Event Planners. They might also be called Convention Planners or Event Coordinators. Event Planners are often responsible for the coordination of transportation, meeting locations, food and beverage, audio/visual, lodging, decor, and other logistics about an event.


Event planners are often required to work long hours, often more than 40 each week, especially as the event date approaches. I recall working from sun up to sun down for a particular occasion. Yes, the hours were long, and I was slightly concerned, but the effort I put into the event was well worth it!


As an Event Planner, your duties may include:

  • Initiate meeting(s) with clients and keeping the lines of communication open.

  • Put together a budget.

  • Bid on contracts.

  • Work with a plethora of vendors.

  • Venue selection and inspections.

  • Hiring staff

  • Billing and payments

  • Surveying

  • Monitoring every step of event to ensure success

  • Exhibit excellence in customer service

There are also intangible virtues and skills that event planner must model:

  • Patience

  • Diligence

  • Honesty

  • Trustworthiness

  • Accountability

  • Energetic

  • Determined

  • Optimistic

  • Highly Organized

  • Great Communication & Negotiation Skills

  • “Team-Work” Attitude

  • People Skills

There are many more excellent qualities and talents possessed by effective event planners. The goal of an event planner is to bring people together for a shared objective or reason. Planning events together may appear to be child's play, but it isn't that simple. From start to conclusion, event planners pay attention to every detail.
